Privacy Policy

1. Introduction

Skuld, LLC ("Skuld", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the SkuldBot enterprise automation platform, our website, and related applications (collectively, the "Services").

By accessing or using our Services, you agree to this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access the Services.

2. Information We Collect

2.1 Information You Provide

  • Account Information: Name, email address, company name, job title, phone number when you register for an account.
  • Payment Information: Billing address and payment details processed through our secure payment providers.
  • Communications: Information you provide when contacting us, requesting demos, or submitting support tickets.
  • User Content: Microsystem and workflow configurations, connector settings, and metadata you create within the platform.

2.2 Information Collected Automatically

  • Usage Data: How you interact with our Services, including features used, actions taken, and performance metrics.
  • Device Information: Browser type, operating system, device identifiers, and IP address.
  • Cookies and Tracking: We use cookies and similar technologies as described in our Cookie Policy.

2.3 Your Automation Data vs. Your End-Customers' Data

Important:Skuld does not host, access, process, or store the underlying business data your automations operate on — including any data about your own customers, clients, or patients — in any subscription, regardless of size. That data remains, and is processed, entirely within your own infrastructure or environment; your automations execute there, not on Skuld's platform.

What SkuldBot's platform does handle is your automation configuration — prompts, workflow code, connector settings, and related metadata (see "User Content" above) — plus operational telemetry and system health data describing how your automations ran. We secure this configuration and telemetry data in accordance with the measures described on our Security page, and we do not access, use, or share it except as necessary to provide the Services or as instructed by you.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our Services
  • Process transactions and send related information
  • Send technical notices, updates, security alerts, and support messages
  • Respond to your comments, questions, and customer service requests
  • Communicate about products, services, and events offered by Skuld
  • Monitor and analyze trends, usage, and activities in connection with our Services
  • Detect, investigate, and prevent fraudulent transactions and other illegal activities
  • Comply with legal obligations

4. Information Sharing

We may share your information in the following situations:

  • Service Providers: With vendors who perform services on our behalf (hosting, analytics, payment processing).
  • Business Transfers: In connection with a merger, acquisition, or sale of assets.
  • Legal Requirements: When required by law or to protect our rights, privacy, safety, or property.
  • With Your Consent: With your explicit consent for any other purpose.

We never sell your personal information to third parties.

5. Data Security

We implement appropriate technical and organizational security measures to protect your information, including:

  • Encryption of data in transit (TLS 1.3) and at rest (AES-256)
  • Regular security assessments and penetration testing
  • Role-based access controls and multi-factor authentication
  • Employee training on data protection practices
  • Incident response procedures

For more information about our security practices, visit our Security page.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide you Services. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. Upon termination of your account, we will delete or anonymize your information within 90 days, unless retention is required by law.

7. Your Rights

Depending on your location, you may have the following rights:

  • Access: Request access to your personal information
  • Correction: Request correction of inaccurate information
  • Deletion: Request deletion of your personal information
  • Portability: Request a copy of your data in a portable format
  • Objection: Object to processing of your personal information
  • Restriction: Request restriction of processing

To exercise these rights, contact us at privacy@skuldbot.com.

8. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. We ensure appropriate safeguards are in place for such transfers, including Standard Contractual Clauses approved by the European Commission or other legally valid transfer mechanisms.

9. HIPAA Compliance

SkuldBot's architecture ensures Skuld never receives, hosts, or processes Protected Health Information (PHI) — PHI stays within your own infrastructure at all times, regardless of subscription tier, with HIPAA-aligned safeguards on our side including encryption, access controls, and audit logging for the automation configuration and telemetry data we do handle. We offer Business Associate Agreements (BAAs) for customers who require one as a contractual matter. Contact us to discuss executing a BAA.

10. Children's Privacy

Our Services are not directed to individuals under 16. We do not knowingly collect personal information from children. If we learn we have collected personal information from a child under 16, we will delete that information promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.
